Vehicle: 2014 Ford E350 cutaway shuttle-bus conversion β€” 5.4L V8 gas (2V), RWD 2WD, Class 3, ~22–24 ft, 10–12 mpg, 225k mi baseline. Two purposes in one file: the service log (what was done, when, cost) and the forward plan + budget (intervals, event protocols, high-mileage reserve). budget.md rolls the plan into an annual allocation.

Customer-stated concerns, in shop order: inspection + LOF Β· check engine light on with other warning lights Β· fluid leak Β· shifter hard to come out of park (cold only).

# Work Parts Labor Subtotal
1 Lube, oil & filter β€” Synthetic Blend 5W-20 Γ—6 qt, filter R1372, used-oil disposal. Fluids topped off, tire pressures set, 28-point inspection $49.53 $25.00 $74.53
2 Diagnostic β€” CEL confirmed, code scan β€” $115.00 $115.00
3 Serpentine belt remove & replace (K061280) + code clear + retest $85.85 $90.00 $175.85
4 Fluid-leak check β€” power steering fluid backing up out of reservoir, topped off. Cause: the snapped belt, not a pump failure β€” β€” (in #3)
5 Shifter-stuck-in-park diagnostic β€” $49.95 $49.95
6 Shift interlock solenoid remove & replace (924-Torch) $345.85 $270.00 $615.85

10 Transmission pan off β€” filter 8C3Z7A098A screen assy, gasket F6TZ7A191A, 7 qt ATF, road-tested $245.20 $360.00 $605.20
Β  Work subtotal $933.95 $1,224.95 $2,158.90

Shop supplies $143.07 Β· HazMat $51.10 Β· Discount βˆ’$115.00 β†’ Subtotal $2,238.07 Β· Tax $95.89 β†’ Paid $2,333.96 Line-item sums independently match the printed Parts/Labor totals. Next oil change due 2027-02-19 or 228,000 mi.

Fault codes cleared (all four):

  • P0620-00 Generator Control Circuit
  • P0625-00 Generator Field/F Terminal Circuit Low
  • P1285-00 Cylinder Head Overtemperature Condition
  • P1299-00 Cylinder Head Overtemperature Protection Active

Root cause: the serpentine belt snapped β€” it powered the water pump/alternator and the power-steering pump. All four codes traced to loss of belt-driven accessories. Belt replaced, codes cleared, none returned. The overtemp codes are therefore a belt symptom, not a cooling-system defect β€” and #8 confirms the cooling system is sound.

Shop notes worth keeping: 28-point inspection flagged fluid services were due (which is what drove items 7–10). Nothing about the timing chain, manifold studs, or brakes was flagged.

2026-08-17 β€” Big Brand Tire, Surprise AZ Β· Invoice 3014-1005937 Β· 221,309 mi

Salesperson/invoiced by: Jeff B. (JB166). Tech ZZ772. 7:59 AM – 1:32 PM. Opened as an oil-service coupon, expanded after the tire shop found a steering/suspension wear pattern.

Tires installed (2, front): LT225/75R16E 115R Roadian HTX 2 (NEX, BSW) @ $192.99 ea = $385.98. 50,000-mile minimum-mileage warranty, β€œR” speed-rated.

Alignment + steering/suspension work:

  • Standard 2/4-wheel alignment + camber/castor corrections, steering-angle sensor recalibrated
  • Camber sleeve kit, front (alignment camber/castor Β±1.00Β°) β€” 2 @ $135.07
  • Pitman arm + drag link, front right inner (PRE DS300055 / PRE K80785)
  • Outer tie rod ends, both sides (PRE ES800402 / PRE ES800401)
  • Front sway bar end links, both sides (PRE K750322 kit) + labor
  • Premium alignment (2/4 wheel), tire balance, premium wheel weights, tire recycling, AZ state tire fee

Shop findings β€” the valuable part of this visit:

  • All four tires are dated 2019 and were recommended for replacement on age alone. Customer took the front pair only. Rear pair is still on the vehicle.
  • Driver’s-side camber out of specification (corrected via camber sleeves)
  • Very minimal play from wear in the upper and lower ball joints
  • Idler and pitman arms have play from wear
  • Outer tie rod end bushings worn out
  • Sway bar end link bushings worn out
  • Spare tire not found on the vehicle β€” the tire shop could not locate it. Unresolved.
  • House battery is a lithium battery and could not be load-tested with a standard tester
  • Engine air filter in good condition; under-hood fluid levels OK
  • Extended warranty offers declined on all after-market parts

Note on total: the invoice is 6 pages and the final total page was not captured in the photo set (two photos in the sequence are absent β€” see Receipts/Docs). Captured page subtotals: $120.99 (less $15.00 coupon β†’ $105.99), $385.98, $863.41. The true total is higher than the $1,370.38 those pages imply because pages 5–6 itemize the steering/suspension parts. Re-derive from the original invoice before trusting any figure here. [VERIFY]

2022-09-09 β€” Meineke Car Care Center #116, Amarillo TX Β· Invoice 12512 Β· Estimate 164927

Recorded for history only β€” this is the oldest documentation of the vehicle’s service life. Odometer illegible on the receipt. Customer address on file at the time was El Mirage AZ. Covers a 70k+ mile interval: intake manifold set + gasket (3.8 hr labor), 8 double-platinum plugs, 4 ignition coils, A/C compressor replacement kit + expansion valve + rear evaporator orifice valve, coolant, A/C evacuate/purge/recharge. R-134A refrigerant, A/C labor, and leak-detector dye were recommended and declined by customer β€” which is why the A/C work in this invoice is only the mechanical portion.

Upcoming Maintenance

  • 2027-02-19 or 228,000 mi: Lube, oil & filter exchange (printed on invoice 32645)
  • Rear tires (2): still 2019 date code β€” replace on the next tire stop regardless of tread
  • Ball joints (upper + lower): play already found at 221k; inspect and plan replacement
  • Spare tire: missing from the vehicle β€” locate or replace before desert legs
  • Timing chain / guides, exhaust manifold studs: no inspection on record from any shop; listen each oil change

Operating Context That Drives Maintenance

Factor Implication
225k mi, gasoline 5.4L High-mileage service discipline: short-interval oil, proactive cooling/transmission refresh, brake/fluid diag each leg
2WD on playa/dirt/desert Dust ingress is the #1 killer: air filter β†’ oil β†’ brakes/trans. Alkali playa dust (pH ~10, BRC) neutralizes with vinegar/Calgon wash, not dry polish
400–480 mi range, ~800 mi annual event legs Drive-train sees steady-state highway + long grade pulls (Wolf Creek 7%, I-70 5–6%) β€” transmission cooling + brake pads on grades
1 adult + 1 dog + conversion payload Payload near GVWR = brakes/suspension/tires wear; verify GVWR/GAWR (Gaps)
Seasonal: winter desert + summer CO mountains Altitude + heat shears oil faster; cold starts + battery health matter above 8,000 ft
5.4L Triton known issues Spark-plug blowout/breakage (2V Tritons), coil packs, timing-chain/guides at high miles, exhaust manifold studs β€” budget + inspect

Service Budget (Annual, ~8,000–10,000 mi/yr)

Prices = typical shop (not dealer) Sep 2026 [VERIFY regionally].

Item Interval ~Cost Notes
Engine oil + filter (full-synthetic, 6 qt) 5,000 mi or 6 mo $60–90 Shorter after playa dust
Air filter (engine) 15–20k mi, event-based sooner $25–45 BRC/playa: swap ~day 4–5, spare in cab
Cabin filter 20k mi $15–30 Dust-focused trips = more often
Spark plugs + coils (8 cyl, 2V) Plugs 100k; coils as-fail $120–260 (plugs) Β· $60–120/coil Triton plug-crush risk β€” anti-seize + torque spec; coil boots crack w/ heat
Brake pads (front + rear, E350) 30–40k mi $150–300 HEAVY bus + grades = front pads first; inspect each leg
Brake rotors As-needed $300–500 Warp from mountain descents (engine-brake grades)
Brake fluid flush 2 yr / 30k mi $80–120 Done 2026-09-25 @ 223,024 ($136.25). Next due ~2028
Transmission fluid + filter 30k mi $180–300 Done 2026-09-25 @ 223,024 ($605.20, pan off). History no longer unknown β€” next due ~226k / 2029
Coolant flush + thermostat 60k mi / as-needed $120–200 Done 2026-09-25 @ 223,024 ($168.30, verified βˆ’35 Β°F, no overheat)
Rear differential service (75W-140) 60k mi $220–320 Done 2026-09-25 @ 223,024 ($217.97). Wasn’t in this table before
Serpentine belt + tensioner + idler 60–90k mi $150–250 Belt snapped at 223,024 (2026-09-25) β€” replaced, $175.85. Tensioner/idler wear still uninspected [VERIFY]
Tires (E-rated 10-ply) 50–60k mi $1,200–1,800/set Front pair replaced 2026-08-17 @ 221,309. Rear pair still on the 2019 date code β€” replace next stop. Size confirmed LT225/75R16E 115R
Wheel bearings / hubs (front, E350) Inspect 60k mi $300–600 (when needed) Shimmy = inspect pre-CO grades
Ball joints / tie-rod ends Inspect yearly $200–600 (when needed) Suspension on washboard + dirt each trip
Shock absorbers 40–60k mi or leak $400–800 Ride + control on gravel/BLM roads
Exhaust manifold studs (Triton 2V) Common fail high-mi $200–500 Cold-start tick = fix before event
Timing chain / guides (5.4 2V) High-mi inspection; oil-pressure + rattle check $800–1,800 (if needed) Cold-start rattle = budget big-ticket; listen each oil change
Annual running budget (typical road yr) β€” ~$1,200–2,200 Oil/fluid/filters/brakes/tires/health-checks, no big engine work
Replacement/repair reserve β€” $1,500–3,000/yr Timing chain, trans rebuild, alternator, starter, AC compressor, suspension β€” big items WILL hit a 225k rig eventually

Total maintenance allocation recommended (annual): $2,500–5,000 (running costs + reserve). See budget.md Β§2.

Event-Specific Maintenance Work

BRC / Playa (Aug–Sep, annual)

  • Pre-trip: inspect belt/tensioner/idler (belt replaced 2026-09-25 at 223,024 β€” tensioner/idler never inspected, do it now), coolant + overflow, spare air filter in cab, tape every seam (front door, rear doors, sliding windows, cowl vents), cover dash electrical, battery secure + terminals cleaned.
  • During: ~1 hr/day generator norm; engine never left running; arrive full fuel.
  • After (Reno/Fernley): dump β†’ dawn-rid dust wash (plain water FIRST, THEN vinegar/Calgon rinse to neutralize alkali), oil + filter, air + cabin filter swap. Tire-pressure check. Re-wash grease/filters at next 500 mi if dust persists.

CO Mountain Summits / High Country (Jun–Sep)

  • Brake fluid fresh; engine-brake descents (gear-lock 2nd/4th, posted 25–45 mph; Wolf Creek 7%, I-70 5–6%; avoid Red Mountain 8% + Monitor 13%).
  • Overheat watch on grades; 45–55 mph slow passes are NORMAL in a loaded 5.4L bus, not a defect.
  • Altitude cold-start: battery health above 8,000 ft; jump-pack in bus year-round.

Winter Desert (Nov–Apr)

  • Cold desert nights: battery + starting; 5-gal Jerry can rule per routes.md.
  • Dust storms (AZ/Quartzsite): pre-fold/cover intake; clean filter post-storm.
  • Rodents chew wiring in desert camps: peppermint cotton balls + inspect after long stays.

Open Maintenance Questions [VERIFY]

  1. Transmission identity β€” RESOLVED: 5R110W. Confirmed on invoice 32645 (β€œTrans Mfr CD 5R110W”), filter 8C3Z7A098A screen assy, gasket F6TZ7A191A, ATF ~$9.40/qt. Pan-off service done 2026-09-25.
  2. Tire setup β€” PARTLY RESOLVED: singles + spare, LT225/75R16E 115R E-rated. Confirmed 2026-08-17 (Roadian HTX 2, 50k warranty). Open: the spare the shop couldn’t find. Rotation interval stands at 7,500 mi.
  3. Brake config β€” rear drums vs discs; shoe/pad + rotor part numbers. Still open; no shop has documented it.
  4. Service history at 225k β€” PARTLY RESOLVED. Found 2022-09-09 (Meineke, ~70k interval) and 2026 invoices. Fluid services all done 2026-09-25. Still no record from any shop of: timing-chain inspection, exhaust manifold studs, or brake pad/rotor measurement. The two most expensive Triton failure modes remain undocumented.
  5. GVWR/GAWR + actual payload β€” door-jamb stickers; gates heavy work (event-gear Phase 0/1).
  6. Oil spec confirm β€” RESOLVED: 5W-20 synthetic blend, confirmed as the spec actually used 2026-09-25.
  7. Ball joints / tie rods / sway bar links β€” wear confirmed present 2026-08-17, not yet replaced. Price the job.
  8. House battery is lithium β€” no standard load test possible. Confirm what charging/maintenance that chemistry needs. Relevant to the power-supply.md solar plan.
